You signed up for Pragli, followed the in-app setup, and invited your teammates, but now you're wondering - how should I use this thing? This post provides best practices.

You don't need to be in a room at all times

A misconception about Pragli is that you need to be in a room all the time. Instead, feel free to hang out in the main office.

Start talking

When someone is online and their status is green, click on them to talk (a green status indicates availability).

If they have a circle status, then their door is open, and you'll be able to speak immediately, like a walkie-talkie. To protect their privacy, they will be muted, by default.

If they have a square status, then their door is closed, and you'll need to ring them, like a phone call.

When someone new joins your team, consider starting a conversation with them to welcome them to Pragli and "break the barrier" of starting conversations. They will feel more comfortable starting conversations themselves.

If you don't want people to disturb you, consider setting a manual status that you are focusing. Alternatively, schedule a "Focus Time" calendar event and integrate your calendar, and you will automatically be shown as busy.

Calendar meetings

Create a set of rooms to use for meetings. Each room will get its own URL, which can be used by both Pragli users and guests. Paste the link into calendar invites.

For all meetings, we recommend using Pragli Scheduler for Google Calendar (available here). It makes scheduling meetings a breeze.

If you don't have Chrome / Google Calendar, then we recommend the following:

  • For recurring meetings, we recommend creating a specific room (e.g. #infra-standup). Place the corresponding room link into the calendar invite.
  • For one-off meetings, we recommend creating one "desk" or "office" room per person (e.g. #desk-doug). When scheduling the one-off, paste the host's room link in the calendar invite.

Schedule co-working time

Pragli doesn't work as a solo app. It relies on the whole team buying into being online during certain times.

To get the most value out of Pragli, set a co-working schedule for your entire team, and align everyone's schedule as closely as possible with this co-working schedule.

While we certainly recommend using it 9-5 every workday, your team might prefer to have certain co-working hours, e.g. Tuesday and Thursday 1pm-4pm. However much co-working time your team wants, ensure that everyone includes that schedule.

Pragli (desktop app) comes with a default start / stop schedule. This can be customized under "My user settings" → "Schedule."

Pragli + Slack

Pragli is designed to be used alongside Slack.

Start by integrating the two in team preferences. Once you've done so, use /pragli in Slack to start a conversation that anyone (even non-Pragli users) can join.

Generally, we recommend using Pragli for as much conversation as possible. Audio/video conversations resolve issues more quickly and build closeness between teammates. Once you've made a decision or resolution in Pragli, consider making a post in the relevant Slack channel to keep your teammates in the loop and create a permanent record of your conversation.
